License & Purchase

Q: How many licenses must I purchase?
A: SmartDL is licensed by the managed account. A managed account is any entry account in the GAL that is being used in any distribution list updated by SmartDL.

Q: Do I need a license for every GAL entry if I will only be using SmartDL with my mailboxes?
A: No, you don't. For example, if you have 150,000 GAL entries but most of them represent users in other e-mail systems that you will not be using in DL created by SmartDL then you need not purchase licenses for them.

Q: How is the Maintenance Agreement Program licensed?
A: The Maintenance Agreement Program is available for all product purchases regardless of size or amount. It is 20% of MSRP before any discount with a minimum of $200. Upgrades are free during the Maintenance Agreements coverage period, which is one year. Maintenance Agreements are renewable annually.

Q: What type of licensing do you offer?
A: We do all of our licensing electronically through our Activation Code Program (ACP). Once your payment has been processed, you are emailed an activation code. Once you activate that code, you are sent a license key and number for the product(s) that you purchased.

Q: What is a managed account?
A: A managed account is any entry account in Active Directory that is being used in any distribution list updated by SmartDL.

Q: Do you offer discounts for special institutions?

Functionality

Q: We have a large organization that includes several Managers, Supervisors, and Team Leaders and the people that report to them. Does SmartDL have a feature that will allow us to easily keep track of Management and their direct reports?
A: Yes, SmartDL has a feature called Managerial Dynasty which allows you to create one distribution list that will maintain the Top-Level Manager and their reports, including anyone that reports to their direct reports.

Q: We have a large organization that is growing at a rapid rate. It has been a task keeping up with all the added personnel or existing personnel within departments and the people that manage them. It becomes a bigger hassle when a manager wants to send an email to his direct reports. Does SmartDL contain a feature that will not only manage this task automatically?
A: Yes, SmartDL has a feature called Managerial Dynasty that provides you with the ability to create Dynasty's based on the Top-level Manager and his direct reports. So emails sent to the distribution list will be received by the people that are meant to view it. You can set the distribution list to automatically update the membership by using the scheduling feature within SmartDL.

Q: The move functionality provided in SmartDL is a feature that our company would like to use. Does the move feature support organizations that are currently using Active Directory\Exchange?
A: Yes, SmartDL supports moving objects between Active Directory domains.

Q: Smart Dynasty: What is a Smart Dynasty?
A: In SmartDL 4.0 we have expanded the Dynasty functionality to allow "Multi-Level" Dynasties. Multi-level Dynasties create other Dynasties. For example, you can create one Dynasty that groups by Country, then State, and finally City. When updated, the Dynasty would create groups for everyone in a particular country that would then create a group for everyone in each state within the country, and finally it would create a group for each city within each state. These dynasties can include queries, and can use data from sources outside of Active Directory to determine membership and grouping.

Q: Transfer Ownership: An employee just left the company that owned 50 groups. How can we find the groups they owned and transfer ownership without having to go through each group manually?
A: SmartDL contains a "Transfer Ownership" wizard that allows you to easily change ownership of multiple distribution lists and groups, all at the same time. This dramatically reduces the frustration and time that it would otherwise take the Administer to locate the specific groups that an individual owned, and one-by-one reassign the groups to a new owner.

Q: Ownership Queries: Is there a simple way to search and locate all the groups that a particular person owns?
A: Yes. Smart DL provides a search query that quickly locates all the groups that a person owns. Then, with the Transfer Ownership wizard, the ownership of each or all groups can be reassigned to new owners with a few simple clicks of the mouse.

Q: Scheduling Updates: We have more than 500 groups in Active Directory. Is it possible to specify a particular group to be updated in the Scheduler?
A: Yes. SmartDL 4.0 will allow you to schedule updates for a specific group and even a combination of groups and containers as often as you need, at any time of day. This eliminates the hassle of creating a job for each group or container that you would like to schedule.

Q: Importing Data from External Sources: Our Development Team provided us with a text file of members to add to a Distribution List or Group. Is there a way to import this information into SmartDL?
A: SmartDL 4.0 contains an "Import Membership" wizard used to import recipients from a text file and add them as members of a group or distribution list. The file to be imported must be a text file that contains one row per line and one column of data. The column must contain information stored in the directory, such as email address, display name, alias, etc.

Q: Nesting: What is nesting?
A: Adding a distribution list as a member of another distribution list is called nesting, so actually, Smart Dynasties are nested distribution lists.

Q: Multi-level Dynasties: What is a Multi-level Dynasty?
A: In SmartDL 4.0 we have expanded the Dynasty functionality to allow "Multi-Level" Dynasties. Multi-level Dynasties create other Dynasties. For example, you can create one Dynasty that groups by Country, then State, and finally City. When updated, the Dynasty would create groups for everyone in a particular country that would then create a group for everyone in each state within the country, and finally it would create a group for each city within each state. These dynasties can include queries, and can use data from sources outside of Active Directory to determine membership and grouping.

Q: Upgrading to Smart DL 4.0: Currently, we are using SmartDL 3.0 to automate distribution list and/or groups. Do we need to uninstall the previous version before upgrading to SmartDL 4.0?
A: Yes, you will need to uninstall the previous version before installing SmartDL 4.0. SmartDL 4.0 includes an upgrade wizard to upgrade all existing groups and dynasties to SmartDL 4.0.
